Descriptive sections
0. Summary
Circle K EXTRA is a free loyalty program at Circle K fuel stations in Poland, built on a visit-based model: every visit - regardless of what the Participant buys - counts toward the discount threshold. The more visits over the last 90 days, the higher the fixed discount per liter of fuel. Every fifth visit unlocks the option to choose one of five surprise rewards in the app.
1. Objectives and context
The program aims to increase the frequency of station visits (whether for refueling, in-store purchases or a car wash) and to build a habit of visiting Circle K at the expense of competitors. The shift from a coupon-based to a visit-based model (September 2025) reinforces the habit through an immediate, fixed fuel discount from the very first visit, escalating the benefits with each subsequent visit.
2. Target group
The program is aimed at adult (min. 16 years old) drivers refueling at Circle K stations in Poland - both individual and business (fleet) customers. Business customers earn double visit crediting (fleet transaction + private), which lets them reach higher discount levels faster.
3. Architecture and type
- Registration: The Participant downloads the Circle K app and creates an account (required: first name, last name, phone, email). Alternatively, they register at the checkout via phone number and an SMS link. New participants receive a welcome coupon package (PLN 0.50/l on premium fuel or PLN 0.30/l on standard fuel and a free coffee).
- Collecting visits: Every station visit recorded with any identifier (extra card, payment card, EAN code in the app) counts toward the counter. The limit is 5 visits per day; a rolling 90-day window applies.
- Fuel discount levels: The number of visits over the last 90 days determines the current level: 1-4 visits → 2/4 gr/l; 5-14 → 4/6 gr/l; 15+ → 6/8 gr/l (values for standard / premium miles+ fuels respectively).
- Reward every 5th visit: After every 5th visit, the app offers the option to choose one of five rewards (a discount coupon for fuel, a car wash, a hot dog, coffee or another product). The Participant has 90 days to make a choice and another 30 days to redeem it.
4. Earn & burn mechanic
- Accrual: A visit counter (no points); each fiscalized transaction recorded with an identifier equals 1 visit; max 5 visits/day.
- Threshold and redemption: The fuel discount is continuous and fixed - active from the first visit, increasing once the thresholds of 5 and 15 visits within the 90-day window are exceeded. The coupon reward unlocks every 5 visits (choice of 1 of 5 in the app; via the app only).
- Reward forms: A fixed fuel discount (gr/l) + coupons for products and services (premium fuel at a reduced price, car wash, free hot dog, free coffee, percentage discount on the store).
- Point expiry: Not applicable (no points); the visit count applied to the discount is based on a rolling 90-day window - therefore, no visits for 90 days results in a drop to a lower discount level.
5. Emotional value
The program deliberately abandons abstract points in favor of simple, immediate gratification: the driver sees a discount at the very first refueling and watches the discount grow with regular visits. The slogan "the brand is loyal to you" reverses classic loyalty narratives, suggesting that it is Circle K that courts the Participant, not the other way around.
6. Gamification
- A three-tier level system (Level 1 → 2 → 3) with visible progress in the app ("My Visits") - a mechanism of advancement and the fear of demotion.
- A surprise reward every 5th visit: uncertainty about the reward's content strengthens the motivation for the next visit.
- A welcome package with a starting bonus - an engagement effect during the first weeks.
- A birthday coupon (in accordance with the EXTRA BIRTHDAY Promotion Terms).
7. Differentiation
Compared with Shell ClubSmart and Vitay, which operate a traditional points-based model, Circle K EXTRA stands out by moving away from points toward a visit counter - this reduces complexity (there is no need to calculate reward values) and rewards every visit regardless of the purchase amount. The visit-based mechanic aligns with the Costa Club or Pret Perks model, transferred to the fuel-station setting.
8. Data and personalization
- Data collected: first name, last name, phone, email, date of birth (optional), payment/fleet card numbers as identifiers, full transactional data (categories, amounts, visits).
- Transactional data stored in detail for up to 3 years, then aggregated.
- Accounts inactive for 36 months are deleted.
- Data processed in accordance with GDPR; data center in the EU/EEA; the program is PCI DSS compliant.
- Personalization: offers and special coupons generated based on purchase history; communication via SMS, email, push.
9. Technology
- Circle K mobile app (iOS / Android) - the only place to choose and redeem coupon rewards.
- Circle K ID identity system based on the OKTA platform.
- Identifiers: physical extra card, payment card (PAN), EAN code in the app, Routex/ProCard fleet cards, partner cards.
- Cross-border integration: visits at Circle K stations in other European countries are credited to the Polish account (outside the PL terms - details at circlek.pl).
10. Communication and lifecycle
- Channels: SMS, email, push notifications, social media (Facebook, Instagram, TikTok).
- Onboarding: welcome package (fuel coupon + free coffee) available for 30 days from registration; condition - completing registration within 24 h of starting.
- Retention: the progressive level system motivates maintaining frequency; exceeding the 90-day threshold without 5 visits results in level demotion - a built-in reactivation mechanism.
11. Conclusion / inspiration for the almanac
Circle K EXTRA shows that moving away from points toward a visit counter radically simplifies the program and removes the entry barrier for occasional customers - while maintaining strong motivation to escalate through three visible discount levels. Worth applying in any fuel or convenience program where visit frequency matters more than basket value.
